Senior Administrative Assistant I - Pathway

RESPONSIBILITIES:
To coordinate, support, facilitate, monitor, and assist with the activities of the Pathway to Excellence program and to support the workflow of staff and provide administrative support for the program. Develops and maintains calendars, ensures department phone coverage, and handles travel arrangements of staff and volunteers. Coordinates schedules and administrative arrangements for all meetings and conference calls. Establishes, maintains, and oversees filing system and records for the department; implements ongoing improvements for systematizing record- and file-keeping functions. Updates, maintains, and inputs data to data management systems and electronic and hard data files. Creates and maintains spreadsheets and databases, as appropriate, to monitor products and services, track budget variances, and forecast trends. Invoices and processes fees, expenses, travel vouchers, and following-up on all accounts receivables and accounts payable for the program. Receives, processes, and prioritizes requests for products and services. Drafts, compiles, duplicates, and mails correspondence pertaining to program. Keeps Director and staff apprised of important pending issues, decisions, and ongoing situations with ANCC officials, ANCC programs and departments, and ANA departments. Interacts with customers, ANA staff, elected and appointed officials, vendors, guests and all other contacts using professional, courteous interpersonal skills. Independently develops, compiles, analyzes, and prepares trending and statistical reports for subsequent presentation and discussion at meetings and conference calls. Prepares for and/or participates in annual meetings of the Pathway to Excellence Advisory Council and the Advisory Council of Credentialing International. Performs other activities and provides support to other ANCC programs as needed.
REQUIREMENTS: Bachelor's Degree or equivalent education and work experience. At least two to three years of Administrative/Office Assistant experience; as well as experience using current, in-use presentation, word-processing, database, and spreadsheet software. Excellent interpersonal skills and customer service proficiency. Highly organized with ability to prioritize own work and that of others. Critical thinking, analytical and problem- solving skills; advanced organizational skills. Flexibility is required, as is the ability to work independently without close supervision.
